Army Memorandum Generator

AR 25-50 memorandums, delivered as formatted Word files
Stays on this device. Nothing you type is sent anywhere. Profiles and drafts are kept in this browser’s local storage, and the Word file is assembled here from the template.
StartChoose your memo
Kind of memorandum
Start from a ready-made memorandum and answer its questions, or leave it on free-form to type your own paragraphs. Your letterhead, office symbol and signature block still come from the sections below.
HeadingType and letterhead
Memorandum type AR 25-50 para 2-2, 2-4a(5)(d), 2-7
Organization profile saved in this browser
Letterhead para 2-3a(1)
Preprinted keeps the body at the same position and leaves the letterhead area empty.
Paper fig 2-17
An MFR is normally typed on plain paper with the office symbol 1 inch from the top.
Organization name, standardized street address, then CITY STATE ZIP+4. Two spaces are inserted before the ZIP code automatically.
Seal upper left, 1 inch square
HeadingOffice symbol, addressees, subject
Add the ARIMS record number in parentheses if your organization requires it.
Date para 2-4a(3)
Printed in bold as “S: date”, flush right, two lines above the memorandum date.
Office, organization, then address, separated by commas. Use all capitals or mixed case, not both.
One subject, 10 words or fewer where possible; a long subject wraps flush with the left margin.
BodyParagraphs and subparagraphs
Numbering, indentation, and spacing are applied for you: 1., a., (1), (a). Press Enter for a new paragraph, Tab to make it a subparagraph, Shift+Tab to move it back out.
Point of contact para 2-4b(1)(e), 1-23a
Fill in a rank and name to add a closing paragraph naming the point of contact, worded the same way every time. Leave it blank to write your own closing paragraph instead. Works the same for every memorandum type and template.
ClosingAuthority line, signature block, enclosures, copies
Only when signing for the commander or head of office. Printed in capitals with a colon.
Signature profile saved in this browser
Signer para 6-4
Officers and warrant officers: rank, branch and TNARNG, for example CPT, EN, TNARNG.
Enlisted: rank and TNARNG only, no branch, for example SFC, TNARNG.
Second line prints as:
With SEE DISTRIBUTION the addressees above are listed first; entries here follow them.

How to use the generator

The short version

  1. Pick your organization profile and signature profile, or type the letterhead, office symbol and signature block once and press Save as so they are one click next time.
  2. Fill in the addressee, subject and paragraphs, or start from a template and answer its questions.
  3. Watch the Checks panel for anything the regulation would flag, then press Generate .docx.

Nothing you type leaves this device. Profiles, drafts and settings live in this browser only; use Settings > Export to move them to another computer.

Things that happen automatically

  • Spacing and layout. Margins, the position of every element, the blank lines between them, the signature block at page center, and the continuation header and page numbers on page 2 onward are all set for you. You never press Enter to make space.
  • Numbering. Paragraphs are numbered 1., a., (1), (a) from their level. A memorandum with a single paragraph is not numbered, as the regulation requires. If you have an “a” without a “b,” Checks will tell you.
  • Capitals. The letterhead, the signer’s name and the authority line print in capitals no matter how you type them. The subject is title-cased unless you turn that off; acronyms such as DA or FY27 are left alone.
  • Sentence spacing. Two spaces are placed after periods and question marks between sentences (one after commas and colons). Abbreviations such as U.S. or para. are left alone. Turn it off in the Body section if your unit directs one space.
  • Blocks appear when they have content. “Encl” or “2 Encls” prints only when the Enclosures box has lines in it; the same goes for CF: and DISTRIBUTION:. Empty the box and the block disappears, along with its blank line.
  • Encl wording. One line prints “Encl” with the description beneath it; two or more print “N Encls” with a numbered list. Untick Print the descriptions to show only the word.
  • SEE DISTRIBUTION. More than five addressees switches the MEMORANDUM FOR line to SEE DISTRIBUTION and lists them after the signature block. You can force it with the checkbox for fewer addressees.
  • ZIP codes. Two spaces are inserted between the state and the ZIP code in the letterhead.
  • Date. “Today” uses the date on the day you generate. Choose Blank to leave the date off for stamping after signature.

Writing paragraphs

  • Enter starts a new paragraph at the same level. Tab makes it a subparagraph; Shift+Tab moves it back out. Backspace in an empty paragraph deletes it. Alt+↑/↓ moves a paragraph.
  • A paragraph can only go one level deeper than the one above it, and the regulation stops at four levels.
  • The point of contact belongs in the last paragraph; Checks reminds you if it looks missing.
  • Point of contact fields, below the paragraph list, generate that last paragraph for you: fill in a rank and name (and a phone number or email, if applicable) and a closing sentence naming that person appears automatically and updates as you type. It is grey and read-only in the list because it comes from those fields, not from typing; leave them blank to write your own closing paragraph instead. This works for every memorandum type and every template.

Templates

  • The buttons at the top choose the kind of memorandum. Standard Memo offers the ready-made memorandums (letter of recommendation, school and transfer requests, lost equipment statement, late arrival, memorandum for record) or free-form, and Award Memo lets you pick the award.
  • Additional Duty Memo holds the appointment memorandums (Unit Publications Officer, Key / Lock Custodian, Physical Security Officer and so on) plus a Freestyle option where you write your own Effective, Authority, Purpose, Period and Special Instructions.
  • Additional duty memos. The Soldier you type is the PRIMARY. On most appointments, choose ALTERNATE or SECONDARY under “Add an alternate or secondary?” and a second rank and name appear; both are then listed as PRIMARY and ALTERNATE (or SECONDARY). Memos for teams and committees list as many Soldiers as you add with + Add another person. The date defaults to today, the unit you type carries over to the next duty memo, and the distribution list is editable. Leave an Authority, Purpose, Period or Special Instructions box empty to leave that paragraph out.
  • Choosing a template writes the subject, addressee and paragraphs from its fields as you type. Those parts of the form are locked (grey) while the template is in charge.
  • Required fields are starred. Until they are filled, the preview shows [Field name] in brackets and Generate is blocked.
  • Detach and edit freely keeps the text and unlocks it. Switching back to “Free-form” does the same.
  • Letterhead, office symbol, date and signature block always come from the sections below, not from the template.
  • Award Memorandum has its own page layout (the office symbol and date on one line, then the awardee, the subject, and the award, period of service, authority and reason). Choosing it hides the parts of the form that do not apply, such as addressees, subject, paragraphs, enclosures and copies. Press “Standard Memo” to go back; nothing you had typed there is lost.
  • Award number. Type 1 for “(1st Award)”, 2 for “(2nd Award)”, 3 for “(3rd Award)”, and so on; it prints after the award name in the subject and on the Award line. If you are unsure, leave it blank and nothing is added.
  • Battalion awards. Awards that only the battalion commander can approve, such as the Tennessee Army National Guard Commendation Ribbon, switch the header and office symbol to the battalion’s (you can edit them in the award fields) and warn you to put the battalion commander in the signature block.

Signature block

  • Choose Officer, Enlisted or Civilian. Officers (and warrant officers) print rank, branch and component on the second line, for example CPT, EN, TNARNG. Enlisted Soldiers print rank and component only, for example SFC, TNARNG; the Branch box disappears and the branch is left off.
  • Picking an enlisted rank while Officer is selected (or an officer rank while Enlisted is selected) switches the choice for you.
  • Component starts as TNARNG. The line under the boxes shows exactly what will print.

Profiles, drafts and New memo

  • Save updates the profile currently selected; Save as makes a new one. An organization profile stores the letterhead, seal choice and office symbol; a signature profile stores the signature block and authority line.
  • Save draft keeps the whole form under a name; Drafts loads or deletes them.
  • New memo clears every field, including letterhead and signature, so the next person starts blank. Profiles and drafts are untouched.
  • The form remembers what was on it if you close the tab. Load example brings back the example memorandum.

Letterhead and seal

  • Generate letterhead prints the Department of the Army header and the seal. Preprinted paper leaves that area empty but keeps the body in the same place. Plain paper starts the office symbol 1 inch from the top, which is the normal form for a memorandum for record.
  • Two seals are built in, Department of War (the default) and Department of Defense, printed 1 inch square. An organization can also upload its own or turn the seal off; the choice is saved with the organization profile.

Settings and the Word file

  • The body font applies to the document and the preview. Arial 12 is the default the regulation’s figures use.
  • The Word file is built from a template whose named styles (“Memo Body 1”, “Memo Signature Block” and so on) control the look. Advanced users can edit those styles in Word and load the changed template under Settings; the checker confirms it still has what the generator needs.
  • The preview breaks pages at paragraph boundaries. Word splits long paragraphs across pages, so the last page can differ slightly. Open the file in Word for the final layout.
  • On a phone or tablet, the built-in file preview does not render the memorandum correctly. Open the downloaded .docx in the Microsoft Word app, or on a computer.

Using a phone or tablet?

The generator works here, but the Word file it downloads will not display correctly in your device’s built-in preview. Open the downloaded .docx in the Microsoft Word app (free from the App Store or Google Play) to see the memorandum formatted properly, or open it later on a computer.
